General Description

The Senior Office Manager will oversee all management of the building, including the organization.  The Senior Office Manager is responsible for training, development and supervision of field and office administrative staff.

                                                                                                                                            

Key Duties

  • Oversee Accounts Receivable, job cost accounting, and resolution of billing issues
  • Oversee office accounting staff
  • Review of contracts
  • Manage daily sales within office
  • Oversee and review of accounts receivable/collections
  • Manage DBE Reporting
  • Obtain and manage contractual insurance
  • Oversee the operations of the office and ensure standard operating procedures are adhered to
  • Oversee clerical functions, ensure they are maintained and monitored by supporting staff
  • Prepare annual budget for the office and ensure adherence to budget
  • Serve as main point of contact with public and suppliers for the office
  • Oversee the receipt and response to inquiries from the public and potential customers regarding the company
  • Oversee the organization and scheduling of office meetings
  • Oversee all management of the office building to include:
    • Furnishing of office
    • Assess needs of office staff and provide supplies accordingly
    • Provision of repairs to office as needed and/or solicitation of work to subcontractor to maintain office
  • Oversee administrative office roles
  • Oversee the hiring needs, scheduling of interviews and the implementation of onboarding process for new employees
    • New hire forms
    • E-verity
    • Drug screening
    • Company benefit enrollments
    • EEO compliance tracking
  • Maintain database of preferred suppliers, orders and office needs
  • Oversee upkeep and maintenance of office
  • Oversee health and safety regulations within office
  • Attend meetings with other senior staff
  • Oversee office bookkeeping, payroll, invoicing and corporate compliance

 

Qualification Requirements

  • Education and Experience.  This position is not an entry-level job, as it requires demonstrable previous experience as a Senior Office Manager.
    • High school diploma or equivalent
    • Minimum of 7 years of experience in an administrative/support role, with an emphasis on accounting, cost management, and/or payroll functions
    • Strong knowledge of Microsoft Excel, Word, Outlook and Powerpoint
    • Strong prioritization and organizational skills is a plus
    • Must have strong verbal and written communication skills
  • Physical Demands.  The following physical demands are representative of those that must be met by a Senior Office Manager to successfully perform the essential functions of this job. 
    • Must have the ability to carry out duties in varying work environments including wide ranging weather conditions and terrain.
    • Regularly required to sit and/or stand during a regular work shift of at least eight hours per day. 
    • Employee is occasionally required to stoop, bend, walk, crouch, and climb.
    • Ability to lift, on a frequent basis, at least 25 pounds and carry up to 90 pounds with assistance.
    • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
    • Continuous mental attention required to complete tasks in an efficient manner.
  • Work Environment.  The work environment characteristics described below are representative of those that a Senior Office Manager encounters while performing the essential functions of this job. 
    • Work is performed indoors (office setting) and outdoors (construction and asphalt sites).
    • Must have the ability to carry out duties in varying work environments including wide ranging weather conditions and terrain.
