Brandywine Realty Trust has an immediate opening for an Administrative Assistant based in our Herndon, VA office. This individual will be responsible for the management of administrative duties involved with the operation of Brandywine Properties.

Primary Responsibilities include, but are not limited to:

 

  • Assist Senior Property Manager on management of 5 Class A Buildings in Dulles, Virginia
  • Answer all incoming calls and respond or direct calls accordingly.
  • Coordinate all incoming and outgoing mail.
  • Assist Senior Property Manager in maintaining positive tenant relations.
  • Maintain a professional appearance and demeanor at all times while in the building. Cheerfully aid and assist tenants with problems when they arise
  • Assist Senior Property Manager by maintaining updated and accurate files on all tenant related items including:
    • Obtain current tenant and vendor certificates of insurance and verify compliance
    • Produce rent invoices monthly and update Excel rent rolls
    • Prepare standard tenant notification memos for review by Senior Property Manager.
    • Generate invoices for miscellaneous tenant and utility bill-back charges
    • Manage security access card programming.
    • Maintain and keep current all tenant and vendor information.
    • Prepare purchase orders, one-time contracts, tenant increase letters, and late fee notices.
    • Assist Senior Property Manager with new tenant move in packet.
  • Process invoices for buildings in a timely manner.
  • Assist Senior Property Manager in planning tenant events (e.g., daffodil days, blood drive, ice cream social).
  • Notify Senior Property Manager of appropriate upcoming deadlines well in advance of occurrence. Maintain filing system for all routine reports and other deadlines required during a given week, month and quarter.
  • Performs other site or department specific duties as assigned.
  • Excellent entry-level position into the property management field

 

Requirements:

 

  • One to two years related experience and/or training; or equivalent combination of education and experience.
  • Four-year College required.
  • Proficient in Word or WordPerfect, Excel, PowerPoint and Microsoft Outlook.
